Cancellation Terms and Conditions

By registering for the conference, the registrant agrees to the following cancellation policy.

1. Cancellation Fees and Deadlines

Refunds are calculated based on the gross registration fee (excluding GST). The following tiered structure applies:

2. Mandatory Cancellation Procedure

• Registered Email Requirement: To ensure data security, requests must be initiated solely from the email address used during registration. Requests received from unregistered or secondary email addresses will be rejected.
• Submission Channel: Requests must be emailed to techsupport@pedicon2027.com and nationalpedicon2027@gmail.com. Clicking the link will automatically send your email to both addresses.
• Prohibited Channels: For record-keeping purposes, cancellations made via WhatsApp, SMS, phone calls, or verbal communication will not be entertained.

3. General Terms

• Timestamp: The official date of cancellation is determined by the email timestamp.
• Taxes: The GST component of the registration fee is non-refundable under any circumstances.
• Processing Time: All eligible refunds will be processed within six weeks after the conference concludes (31 January 2027). The actual credit to your bank account may take an additional 5-7 business days depending on your bank's processing time.

4. Pre-Conference Workshop Cancellations

• Workshop registrations are contingent upon active conference registration. Workshop registrations cannot be held independently.
• Upon cancellation of the conference registration, all associated workshop registrations are automatically cancelled with the same refund terms applied to the workshop fee.
• A registrant cannot cancel only the conference while retaining the workshop.

5. Refund Processing and Bank Details

Bank Details Required: To process a refund, registrants must provide the following complete bank details via email to techsupport@pedicon2027.com and nationalpedicon2027@gmail.com:

• Full name (as per bank records)
• Bank name and branch
• Account number
• IFSC code
• Account type (Savings/Current)

Refunds will be processed via bank transfer only after complete bank details are received and verified.

International Registrants (USD): Refunds for USD payments will be converted to INR at the exchange rate prevailing on the date of refund processing. Registrants must provide their bank details in INR-compatible accounts for refund processing.

6. Accompanying Persons and Dependents

• Accompanying persons and children registered as part of a delegate's registration follow the same cancellation policy as the primary registrant.
• Automatic Cancellation: Upon cancellation of the primary registrant's conference registration, all accompanying persons and dependents registered under that booking are automatically cancelled without requiring a separate cancellation request. Refunds for accompanying persons will be processed along with the primary registrant's refund.

7. Registration Transfer – Not Permitted

• Transfer Not Allowed: Registration transfer to another individual is not permitted under any circumstances.
• Conference Credit: Conference credits are not offered as an alternative to refunds. Cancellation proceeds in refund only (minus applicable cancellation fees).
• The only option available to registrants is a refund as per the tiered cancellation policy outlined above.

8. Cancellation Acknowledgment

Upon receiving a valid cancellation request and required bank details, PEDICON 2027 will send a confirmation email within 7 working days to the registered email address, including:

• Cancellation reference number
• Cancellation date and applicable cancellation fee percentage
• Refund amount (GST component deducted as per policy)
• Expected refund processing date

Registrants should retain this confirmation for their records.

9. Cancellation Disputes and Grievances

In case of any dispute regarding a cancellation request or refund, registrants must escalate their concern to techsupport@pedicon2027.com and nationalpedicon2027@gmail.com with subject line: "Cancellation Dispute – [Your Registration Email]". Clicking the link will automatically send your email to both addresses.

The matter will be reviewed by the registration committee and a resolution will be provided within 15 working days.

All decisions regarding cancellations and refunds are final and binding.
